Privacy Policy

Last updated: October 26, 2026

This policy explains what information HiHRM collects, why we collect it and how we look after it. It applies to our website and to every workspace on the HiHRM platform.

1Who we are

HiHRM is a cloud HR, attendance and payroll platform. Each organisation that signs up gets its own workspace.

For the employee data an organisation puts into its workspace, that organisation decides what is collected and why. HiHRM processes that data on the organisation's behalf and only to provide the service.

2Information we collect

Account information: your organisation's name, workspace address, and the name, email address and password of the people who sign in.

Workspace data: the records your organisation adds — for example employee profiles, attendance punches, leave, movement, payroll and documents.

Billing information: your plan, invoices and payment status. Card payments are handled by our payment provider; we do not store full card numbers. For bank transfers we keep the slip you upload.

Technical information: sign-in times, IP address, browser and device type, and logs that help us keep the service secure and working.

3How we use information

To run your workspace and the features you use, such as calculating attendance or producing payslips.

To keep accounts secure, prevent misuse and fix problems.

To send messages about your account — for example sign-in codes, approvals, invoices and important changes to the service.

To improve HiHRM, using aggregated information that does not identify individual people.

4Sharing information

We do not sell personal information.

We share information only with service providers that help us run HiHRM — such as hosting, email delivery and payment processing — and only as far as they need to provide that service.

We may disclose information when the law requires it, or to protect the rights and safety of our users and of HiHRM.

5How we protect information

Every organisation's data is kept in its own workspace and is never mixed with another organisation's.

Connections to HiHRM are encrypted, passwords are stored hashed, and two-factor sign-in is available.

Inside a workspace, access follows the roles and permissions the organisation sets.

6How long we keep information

We keep workspace data while your subscription is active.

When a workspace is closed, its data is deleted after a short grace period in which you can ask for an export. Copies in backups are removed as those backups expire.

We keep billing records for as long as tax and accounting rules require.

7Cookies

We use cookies that are needed for the site and the workspace to work — for example to keep you signed in and to remember your language.

If analytics are switched on for this website, they help us understand which pages are useful. They are not used inside your workspace.

8Your choices and rights

You can see and update your own profile from your workspace.

Employees who want to see, correct or remove their data should contact their employer, who manages the workspace. We will help the employer respond.

The account owner can ask us for an export of the workspace or for its deletion.

9Changes to this policy

If we make important changes, we will update this page and let workspace owners know before the changes take effect.
